3. How we use your information
- To process and verify membership applications and maintain the member register.
- To record fees and payments and issue receipts.
- To send announcements, event invitations, fee reminders and other notices related to your membership.
- To respond to your enquiries.

- To meet legal, regulatory or bye-law obligations of the Unit.
We do not sell your personal information or use it for third-party advertising.
4. Who can see your information
- Office bearers and authorised administrators of the Unit, who need it to manage membership, fees and communication.
- Service providers that host our website and data. The website and portal run on Google Firebase, and data is stored on Google Cloud infrastructure under Google's security and privacy commitments. Emails are sent through our email service provider.
- Authorities, where disclosure is required by law.
Public pages of the website may show the names, positions and official contact details of office bearers with their consent. Member details are never shown publicly.

The website does not use advertising or tracking cookies. The member portal stores a session token in your browser so that you stay signed in, and may remember simple preferences. You can clear this data at any time from your browser settings. Signing out removes the session token.
6. How long we keep information
We keep membership and payment records for as long as you are a member and afterwards for the period required by the Unit's bye-laws and applicable law, including for accounting purposes. Contact form messages are kept only as long as needed to respond and follow up. Unsuccessful membership applications are removed within a reasonable time after the decision.
7. Security
We use access controls, encrypted connections and security rules on our database to protect your information. Passwords are stored in protected form and are never visible to administrators. No method of storage or transmission is completely secure, so we cannot guarantee absolute security, but we take reasonable steps to protect your data and will inform you of any breach that affects you where the law requires.
